Tenant Application Form.

As members of the National Landlords Association (NLA), the application form we use is approved by the NLA, with the information provided on the form being used for the sole purpose of letting by the landlord. No information contained therein will be divulged to any third party, unless the Tenant defaults. 

Tenant Deposit.

The full deposit required is equal to one calendar month’s rent. The full deposit will be held in the Deposit Protection Service (DPS) in accordance with new government legislation, https://www.depositprotection.com.  With the DPS' expertise, tenants have peace of mind that their deposit will be cared for by the largest, most experienced supplier of deposit protection in the UK. 

In order for us to hold the property, we require the deposit to be paid by the tenant. This stops the property being marketed to other potential tenants. Paying the deposit indicates that we have approval to proceed with the application and obtain references on the tenant's behalf, and they have committed to moving into the property on an agreed date. The deposit is non refundable should the tenant pull out of the process during this stage. 

The full deposit will be returned to tenant at the end of the tenancy agreement, providing the property be left in a satisfactory condition. The tenant has 14 days to rectify any issues highlighted during the check out process. Once the full or partial deposit has been agreed, it will be released to the tenant within 10 days. In the rare event of a dispute between tenant and landlord, this will be passed to an independent arbitrator for a final decision.

Energy Performance Certificate | Gas Safety Certificate.

We provide all incoming tenants with a copy of their Energy Performance Certificate and an annual Gas Safety Certificate, as required by law on your rental properties. Move information on this can be found at: https://www.gov.uk/buy-sell-your-home/energy-performance-certificates


It is also a legal requirement for every rental property to have an annual safety check, by a Gas Safe registered engineer, on all gas appliances and flues that are provided in the rental property. More information on this can be found at: https://www.gassaferegister.co.uk

Identification.

You are required to provide four different forms of Identification, before you move into any property. Two forms of ID must show evidence of name documents, one of which must be PHOTO ID such as a passport, driving license etc.

 

The other two forms must be evidence of address such as a bank statement, utility bill or mobile phone bill. We we will also require the following for each individual applicant:

'Right to rent' criteria is satisfied as required by law under Section 22 of the Immigration Act 2014.
A copy of your employment contract or recent wage slip, plus employer reference.
Your address history
Your credit history 
A character reference
Existing Landlord reference

You may be unable to move in without these, so please call our office and let us know if you have any difficulty providing them.

Moving In

Before you move in, we ask that you pop into our office to review and sign your tenancy agreement, we'll make you a coffee, and have a great biscuit selection.  

 

We'll then provide you with all relevant documentation relating to your tenancy including meter readings, gas safety/energy performance certificates inventory to document the property's condition which has been approved by an independent inventory clerk. In addition to your deposit, you will be required to pay one month's rent upfront before you move in.

During the Tenancy.

If the property you live in is managed by us, you are welcome to contact us at any time during the tenancy and we will be able to assist you with payment queries, maintenance and anything else regarding the tenancy. We will provide you with an out of office number for maintenance emergencies, or we have an online maintenance reporting service (we'll explain during your moving in process), which will log your issue with our team immediately. 

If the landlord manages their own property, we will provide you with information about how the management of the property will be carried out, including their full contact details. You are still welcome to contact us at any point during the tenancy; if you are having difficulty we will be happy to contact the landlord on your behalf.

Moving Out

The property should be returned to same standard of cleanliness as it was in on the first day of your tenancy and all bills should be paid and utility accounts closed. Please provide proof of payment on check out. We will conduct a moving out report which checks the properties condition against the inventory created at the start of the tenancy, taking final meter readings.

We will be in touch within 48 hours of the check out to arrange key hand over. inform you of any charges that will be deducted from your deposit. Provided there is agreement on deduction, the deposit (minus any deduction) will be refunded to you 14 days after the end of the tenancy..

If the property is managed by the landlord they will be responsible for move out.
